Buildflow + Google Calendar

Available

Keep site visits and project dates connected to the job

A calendar event should not become a second version of the truth. Buildflow links the appointment to the lead or project so changes can remain traceable in both places.

Current availability: Switched on for any workspace — connect it yourself in Settings. Calendar connection is available to configured workspaces; connection health remains visible to administrators.

Information Buildflow can organise

  • Site visit dates and times
  • Client and staff attendees
  • Project address and access details
  • Appointment status and rescheduling
  • Calendar event identifiers for reconciliation

What AI can propose

  • Suggest suitable appointment details from an email or lead
  • Summarise the project context before a visit
  • Identify dates mentioned in site notes or client messages
  • Propose reminders when a visit has no completed record

Actions that retain approval

  • Inviting or emailing a client
  • Moving an agreed appointment
  • Changing programme-critical dates
  • Removing an event linked to a live record

How the connection works

  1. 1

The authorised Google Calendar is connected to the workspace.

  2. 2

A site visit is booked from the lead with staff, client and address details.

  3. 3

Buildflow creates or updates the linked calendar event.

  4. 4

Changes are reconciled using the stored event reference rather than creating duplicates.

  5. 5

The completed visit remains attached to the lead and can feed the quotation workflow.

Frequently asked questions

Can Buildflow add site visits to Google Calendar?

Yes, when the workspace connection is configured. The site visit can create a linked event with the address, assigned staff and client attendee where appropriate.

Will rescheduling create duplicate events?

The integration is designed to retain the Google event reference so an existing event can be updated. Reconciliation and duplicate protection are important parts of the connection.

Does the client have to use Google Calendar?

No. A client can receive a normal calendar invitation by email without using Buildflow or sharing access to their own calendar.
