What the limits actually mean
What counts as one AI action
One AI action is one completed AI request: one document or drawing read, one enquiry email parsed into a lead, one estimating suggestion, one contract review, or one reply from the copilot. A document is one action however many pages it has. Re-running the same document because you changed something counts again. A request that fails or returns nothing is not counted, and reading a result you have already generated is free.
How AI usage is counted
AI allowances are counted per workspace per calendar month and cover enquiry reading, estimating help, plan measurement, contract review and the copilot. If you reach the allowance we tell you in the app; AI features pause until the next month or until you add a top-up bundle (£15 for a further 250 AI actions). Nothing else in Buildflow stops working.
What takes Established above £249
£249 is the starting price and covers up to 25 users, 500 GB of storage and 2,500 AI actions a month. It goes up for more users than that, more storage, a larger AI allowance, or a data migration that needs us to clean and map your existing spreadsheets or system. We quote a fixed monthly figure in writing before you commit — there are no automatic overage charges on this plan.
Which integrations each plan gets
Integrations are not restricted by plan: every plan gets the same connections, and the limit is what we have actually built. Google Calendar is available, Gmail enquiry capture is in pilot, and accounting (Xero, Sage) is not built yet on any plan. Solo is limited by having one user, not by which integrations it may use.
What the trial includes
The 14-day trial is the full product for one workspace, not a cut-down version. There is no self-service import of your existing jobs on any plan today — bringing across historic jobs is a hands-on migration we do with you, quoted separately and normally part of an Established onboarding. During the trial you start with new enquiries and live jobs entered as you go.
Storage over the included amount
Extra storage is £5 per month for each additional 25 GB, added only after we tell you that you are close to the limit. We never delete files to enforce a limit.
Support hours
Support is by email, Monday to Friday, 8am – 6pm UK time, excluding English bank holidays. Response targets are the time to a first human reply, not to a resolution.
Cancelling
Monthly rolling — cancel at any time from Settings, with no notice period and no cancellation fee. Your workspace stays open until the end of the month you have already paid for. We do not refund part-months.
Getting your data out
You can export your own data at any time while your subscription is live: leads, quotations, projects, costs, contacts and audit logs as CSV, and documents, photos and PDFs as a single download. After you cancel, the workspace stays available in read-and-export mode for 30 days, then it and its contents are deleted. Ask us in that window and we will produce a full structured export for you at no cost.
Price changes
Your price is fixed for 12 months from the day your subscription starts. We give at least 30 days' notice by email before any change after that.
Onboarding
1. Request your workspace
Sign up with your work email. That creates a new, empty company workspace for your business — nobody else can see it. We verify the request and set up your workspace administrator with you.
2. Invite your team
Once your administrator is in place, send invitations from Settings. Each colleague gets a role (estimator, project manager, office admin, operative) that controls what they can see.
3. Bring your live jobs across
Add current enquiries and jobs manually, or send us a spreadsheet and we will import them for you on the Established plan.
